Rules of the Stawa Hostel

Applicable to the use of hostel accommodation services and available infrastructure.

  1. Check-in time from 3:00 pm to 11.00 am(it is possible to previously agree the time of arrival). The hostel may deny admission of the Guest without specifying the reason. Hostel may charge a reimbursable deposit fee in the amount of PLN 50 for the door key.
  2. If the Guests does not check out by 11:00 am, they may be charged with an extra fee as per the current price list.
  3. In the case of group reservations, the Hostel, during the stay may chargé a reimbursable fee in the amount of PLN 500 for each group of 10 Guests.
  4. Upon checking out, Guests return the key set at the reception – in return, the reimbursable deposit is paid out.
  5. It is prohibited to share the accommodation with the Guests who have not checked in. Guests may not make available their beds to any third parties even if the period of stay paid for has not elapsed.
  6. The bed in a dorm can only be used by one person!
  7. The price of the accommodation includes bed linen, towels, coffee, tea and TV and Internet access. Upon request, Guest may use luggage storage services free of charge.
  8. The hostel rooms are hired after presentation of a valid ID card or passport and following the payment for the entire stay.
  9. The night silence time is from 22.30 until 07.00. During this time, no persons who have not checked in can be present at the hostel. Each person who has not checked in and is staying at the hostel within the above-mentioned hours will be asked to pay for the stay (the rate will be calculated for the room in which the person has been found staying) – the Guests bear responsibility for their visitors.
  10. Visitors’ and any third party’s behaviour should not interfere with the quiet stay of other Guests. The Hostel may refuse further stay of the Guest who violates this rule and behaves aggressively towards hostel’s personnel and fails to observe the hostel rules – even during the stay at the hostel (night) and without reimbursement of the fee for the accommodation.
  11. For fire safety reasons, use of candles, heating equipment and similar appliances in the rooms is prohibited.
  12. Smoking is prohibited in the entire hostel area. The penalty for breaking this rule is PLN 2000. Should the fire system go off due to a visitor’s fault, such a visitor shall be additionally charged with the costs of unjustified fire brigade call.
  13. Pets may be admitted into the hostel at an extra fee (solely into private rooms and should have a valid vaccination card and muzzle).
  14. After checking out, the keys to the room should be returned at the reception desk. The hostel charges PLN 50 penalty for each lost key /card (doors/lockers).
  15. Guests shall bear material (financial) liability for damage or destruction of hostel appliances. The hostel Guests may also be required to compensate the non-material damage to other hostel Guests and / or staff.
  16. Guests shall have the right to make complaints should they observe any negligence in service provision. Any complaints may be lodged at the reception. The period for complaint consideration is 7 days. The complaints lodged after checking out shall not be considered.
  17. Any defects in the rooms should be reported at the reception upon arrival. Failure to report them shall be considered as lack of defects or damage upon arrival.
  18. It is prohibited to move the furniture in hostel rooms.
  19. The hostel shall not be liable for valuable items left at the rooms and in shared parts. Valuable belongings may be deposited at the reception. The car park in front of the hostel is not guarded.
  20. Items left at the room and after checking out will kept for 14 days and after the elapse of which they will be destroyed.
  21. Guests are requested to keep the rooms and shared parts clean and tidy. Especially, they should ensure tidiness in bathrooms and kitchens as they are shared parts of our hostel. Guests of Stawa Hostel are required to observe the fire-fighting regulations and the generally applicable safety rules.
  22. We are not liable for any failures and their consequences beyond our control (force majeure).
  23. The Hostel does not reimburse the fee for accommodation.

Upon arrival at the hostel, Guests acknowledge and accept these Rules. Failure to observe the rules of the Stawa Hostel may result in Guests’ removal without reimbursement of expenses

Rules for Payment for the Stawa Hostel Services

§1 Reservations.

  1. Individual Reservations.
    1. Reservations can be made:
      1. directly, using the reservation engine available on our web site;
      2. by phone with e-mail confirmation including details of the reservation (inclusion of the following information is mandatory: name and surname, date of arrival and departure, arrival time, room type, number of Guests, possible meal requirements, invoice data – also required in the event of private individuals, contact to person responsible for the reservation);
      3. by written order: in electronic form (e-mail) or by letter (inclusion of the following information is mandatory: name and surname, date of arrival and departure, arrival time, room type, number of individuals, possible meal requirements, invoice data – also required in the event of private individuals, contact to a person responsible for the reservation);
      4. using one of the many sales channels and on-line reservation system (Online Travel Agency OTA).
    2. After prior reservation in accordance with the above-given procedure, the Hostel will send a document confirming the reservation to your e-mail or postal address.
    3. A condition for the reservation to be legally binding upon the Hostel is the Guest’s payment of 50% of the order value; the advance amount will be not lower than, however, the value of the service for the first night (i.e. the number of Guests x first night).
    4. The down payment referred to above shall be paid to the Hostel account by a bank transfer, in cash or by credit card.
    5. The payment should be made within 7 days of the original reservation, however, not later than within 48 hours prior to the planned arrival. Lack of payment may result in reservation cancelling.
    6. As the date of prepayment shall be deemed the date of crediting the bank account.

    8. The remaining amount shall be payable upon checking in at the Hostel. Should the payment be not made within the specified deadline or in the event of lack of credits on the credit card the reservation shall be cancelled upon prior advice to the Guest.
  2. Group reservations.
    1. Group reservations can solely be made:
      1. by phone with e-mail confirmation including the details of the reservation (inclusion of the following information is mandatory: name and surname, date of arrival and departure, arrival time, room type, number of individuals, possible meal requirements, invoice data – also required in the event of a private individual, contact to a person responsible for the reservation);
      2. submission of a written accommodation order: in electronic form (e-mail) or by letter (inclusion of the following information is mandatory: name and surname, date of arrival and departure, arrival time, room type, number of individuals, possible meal requirements, invoice data – also required in the event of a private individual, contact to a person responsible for the reservation).
    2. After prior reservation in accordance with the above-given procedure, the Hostel will send a document confirming the reservation to your e-mail or postal address.

    5. The payment should be made within 7 days of original reservation, however, not later than within 30 days prior to the planned arrival. Lack of payment may result in reservation cancelling.
    6. The remainder amount shall be paid within the deadline specified by the reception, however not later than within 30 days prior to the planned departure. Lack of payment may result in reservation cancelling.
    7. As the date of prepayment shall be deemed the date of crediting the bank account.

    9. Group reservations made through sales channels other than those referred to in §1 item 2.1 a, b (e.g..: OTA, reservation engine) may be cancelled.

§2 Cancellation and modification of hostel reservation.

  1. Conditions for Cancellation and Modification of Individual reservations.
    1. The Hostel admits two categories of individual reservations:
      1. Non-refundable reservations – usually linked with a promotion, differing from the base price of standard reservation, payment is made upon reservation, reservation is 100% confirmed, in the event of resignation from the services, the advance funds shall not be reimbursed. Guests cannot modify the reservation. Force majeure operation shall not be considered.
      2.  Standard reservations – at standard reservation terms. The Guest may cancel and modify the reservation as per the terms specified in the payment rules.
    2. In the event of resignation from the reservation (applicable to standard reservations) not later than 30 days prior to the planned arrival, the Guests shall have the right to 100% reimbursement of the incurred expenses. The cancelling must be confirmed by the reception with a relevant e-mail information.
    3. Reservation may be modified not later than 30 days prior to the planned arrival date. Any potential changes to the reservation shall depend on the accommodation possibilities of the Hostel (currently available resources);
    4. In the event of resignation from the stay within 30 days prior to the planned arrival, the Hostel shall have the right to debit the Guest’s account with the costs of the entire reservation. The Hostel shall not reimburse any prior expenses incurred.
    5. Should the Guest not arrive (no show), i.e. prior to the elapse of the first day, the Hostel shall have the right to cancel the reservation and debit the reservation expenses and/or not reimbursed the expenses.
  2. Terms for cancelling and modifying group reservations.
    1. The Hostel identifies one type of group reservation:
      1. Non-standard reservations – the price is agreed on an individual basis, reservation fees are referred to in §1 item 2.1, reservation is 100% confirmed, the reserving Guests may cancel and modify their own reservations within up to 30 days prior to the planned arrival.
    2. In the event of resignation (applicable to non-standard reservations) not later than 30 days prior to the planned arrival, the reserving Guest may require 100 % reimbursement of the expenses. The cancelling must be confirmed by the reception with a relevant e-mail note.
    3. Should the reservation be cancelled within the 30-day period prior to the planned arrival, the Hostel shall have the right to debit the reservation fee from the reserving Guest’s account. The Hostel shall not reimburse any prior expenses.
    4. In the no show event, i.e. prior to the elapse of the first night, the Hostel may cancel the entire stay and debit the reservation costs to the reserving Guest’s account and/or not reimburse the incurred expenses.
    5. In the event of arrival of a smaller number of Guests than the originally declared number, the reserving Guest shall cover the costs of stay of the number of Guests specified in the original order;
    6. Should the reservation modification be required, the reserving Guest shall have this option up to and not later than 15 days before the arrival. Any potential change shall depend on the availability of Hostel’s resources and must be confirmed by the reception with a relevant e-mail note.

§3 Other provisions.

  1. General provisions.
    1. The difference between the payment made in connection with the reservation and the resignation charge (if applicable) shall be reimbursed to the Guest’s by bank transfer to the bank account identified by the Guest.
    2. The resignation charge shall be deducted from the amount of the paid fee or the amount paid for the entire stay, or alternatively debited from the credit card account.
    3. Should the stay at the Hostel be shorter, in addition to the price for the actual stay, the Guest shall be additionally charged with a fee equal to 100 % of the price for the unrealized stay. The paid amounts shall not be reimbursable.
    4. These Payment Rules constitute an Attachment to the Hostel Rules. Upon reservation, Guests undertake to observe and apply all the provisions of the Rules.
    5. The Hostel reserves the right to pre-authorisation of Guests’ credit cards.
    6. The municipal taxi is not included in the accommodation costs and shall be charged in cash upon check-in.
    7. The Hostel reserves the right to change the room reserved by the Guest to the room of equivalent or higher standard should the previously reserved room be not available. If the room is replaced with a room of a lower standard, the difference in price of the originally reserved room shall be reimbursed.
    8. Guests shall have the right to make complaints. Any complaints may be lodged at the reception (e-mail: recepcja@stawahostel.pl). The period for complaint consideration is 7 days.
